The Administrative Assistant will support the Firm and their clients.
Summary:
The Administrative Assistant provides general office assistance and support to the staff, management, clients and vendors of the Firm through the performance of administrative and clerical tasks and activities.
The Administrative Assistant is generally tasked with the smooth functioning of the office and the flow of information among Firm staff and will be involved in various facets of the company including Accounting, Human Resources, Client Services, Marketing and Report Management Departments by performing research, data collection and various tasks to support the related companies as needed.
Essential Functions:
Perform activities of a routine, repetitive, and administrative nature in support of the Firm and related companies.
Responsibilities:
Assist Client Services team in servicing the Firm?s customers with a multitude level of requests which relate to processes, scheduling, and the engagement management of various services.
Must have strong communication skills (written and verbal) to be responsive to client and internal inquiries and requests.
Answer the telephone in a professional manner, screen and direct calls as appropriate; greet visitors and notify appropriate staff of their arrival, escort to meeting location as appropriate Maintain Firm?s security system.
Partner with key stakeholders to maintain office policies as necessary.
Assist with various Human Resources, Marketing and Accounting administrative tasks.
Sort and distribute all incoming mail, faxes and packages to the appropriate recipient.
Prepare outgoing mail and packages, including assisting with mailing campaigns, as needed.
Research and data collection for special projects as needed.
Register staff for events, travel, training, as needed Maintain training log for staff Set up and coordinate meetings when needed Maintain supplies inventory for office and kitchen Coordinate office maintenance (printer/copier arrangements, Iron Mountain/archiving service, new employee spaces and supplies etc.
) Maintain and update Outlook/Constant Contact/Speed Dial with new clients or updated info.
Maintain common space tidiness, i.
e.
reception area, conference room, kitchen and refrigerator Responsible for tracking assignments through completion and review function for delivery to customers and their clients Management of workload will require the ability to maintain and update various logs and handle multiple tasks simultaneously.
The ideal candidate will possess strong organizational skills and an aptitude for detail Utilizes various in-house software tools to perform a variety of input, recordkeeping, and document preparation functions.

Estimated Salary: $20 to $28 per hour based on qualifications.
